These policies apply to Verley Audit Advisory’s live webinar program when registration opens. You can currently request an email when registration opens; a notification request does not reserve a place. See contact form privacy for how inquiry and notification details are handled. Any CPE eligibility and credit conditions will be confirmed in the individual course announcement before enrollment.

01 / RECORDS

Five-year record-retention policy

Verley Audit Advisory will retain complete, accessible records for each webinar offering for at least five years after the program’s completion date. Records supporting more than one offering will be retained for at least five years after the last offering they support.

The program file will include:

  • Individual attendance and credits: participant identity, attendance records, entry and exit times, verified participation duration, completion status, credits awarded or denied, and copies of completion certificates when issued.
  • Attendance-verification responses: individual poll responses and other attendance checks used to verify participation, linked to the attendee and session, together with relevant timestamps, exceptions, and resolution notes.
  • Program dates and locations: course title, offering date, start and end times, delivery method, and physical location or virtual platform/location.
  • Credit calculations: instructional time, excluded administration and breaks, the calculation supporting recommended credits, and the basis for each participant’s credit determination, where applicable.
  • Engagement materials: polls, discussion prompts, exercises, case studies, and other planned participant activities, including their placement in the program.
  • Instructor and reviewer qualifications: relevant biographies, résumés, credentials, experience, and documented content reviews and approvals.
  • Evaluations: participant responses, evaluation summaries, instructor feedback, and documented follow-up actions.
  • Promotional materials: the announcements, registration disclosures, invitations, and policy versions used for each offering.
  • Course materials: the slides, handouts, outlines, speaker notes or scripts used, references, learning objectives, revision history, and materials actually delivered.

The Webinar Program Administrator is responsible for maintaining the program files, exporting required attendance and polling evidence from the delivery platform, and preserving the version used for each offering. Records will be kept in access-restricted storage with backup copies. Access will be limited to authorized personnel and applicable oversight reviewers.

Participants may request their own attendance or credit records through the policy contact. Identity will be verified before release. Records will not be disposed of before the retention period ends or while a related complaint or review remains unresolved; disposal afterward will be secure.

02 / FEES

Free-course and refund policy

Our advertised free webinars have no registration or attendance fee. Because no payment is collected, refunds do not apply. Participants may cancel their registration at any time by following the cancellation instructions in the registration confirmation or emailing the policy contact with their name and course title.

AuditWorks AI Workpapers, setup, support, Internal Audit Consulting & Support, and Regulatory Examination & Remediation Support are also free. Audit and regulatory support are for defined projects, subject to availability, with scope, deliverables, and timing agreed before work begins. No payment is collected, so refunds do not apply to these offerings.

03 / SCHEDULE CHANGES

Program cancellation policy

If Verley Audit Advisory cancels or postpones a webinar, the Webinar Program Administrator will notify all registered participants by email at the address used for registration as soon as the decision is made. When the circumstances are known in advance, we will aim to send notice at least 24 hours before the scheduled start. For an unforeseen emergency or technical disruption, notice will be sent as soon as reasonably possible, including on the day of the program if necessary.

The notice will identify the affected course, original date and time, reason for the change, and any replacement date or next steps. The course listing will also be updated. If a replacement date is not yet available, a follow-up email will be sent when it is confirmed. Participants may accept the new date or cancel without penalty.

If a session is interrupted after it begins, participants will receive follow-up instructions on rescheduling and, where applicable, how verified participation will be considered for credit. Full credit will not be represented as earned solely because a participant registered for a canceled or interrupted session.

04 / PARTICIPANT SUPPORT

Complaint-resolution policy

Direct complaints to Dwayne A. Verley, Webinar Program Administrator, at dwayne@welthoria.com. Use the subject “Webinar complaint” and include your name, course title and date, a description of the concern, relevant supporting information, and the outcome you are requesting. Please avoid sending confidential employer or client information.

  1. Acknowledge: we will acknowledge receipt within three business days and identify any additional information needed.
  2. Review: the administrator will review the complaint, relevant course materials, attendance or credit records, and instructor feedback as appropriate. We will aim to provide a substantive response within ten business days.
  3. Resolve: we will aim to resolve the complaint within 30 calendar days of receipt. If more time is needed, we will explain the delay and provide an expected response date. The written response will explain the findings and any corrective action, such as correcting a record, clarifying course content, or offering participation in a future session.
  4. Reconsider: if you disagree with the outcome, reply to the same contact explaining the unresolved issue. If the complaint concerns the administrator’s own conduct or a conflict of interest, an appropriately qualified person who was not involved in the matter will be asked to review it.

Complaints will be handled respectfully and shared only with those needed to investigate and resolve them. The complaint, response, and corrective action will be documented and retained for at least five years after resolution and no less than the related program’s retention period. Findings will inform future program improvements.

05 / CONTENT QUALITY

Course-update policy

The Webinar Program Administrator is responsible for keeping course content accurate, relevant, and consistent with the stated learning objectives. Relevant changes in laws, regulations, professional standards, technology, or practice will trigger a prompt review and update; significant changes will not wait for the next scheduled review.

  • Frequently changing subjects: review at least annually, including AI, cybersecurity, and regulatory topics.
  • Other subjects: review at least every two years, even if no significant change has been identified.
  • Before each offering: check for relevant developments and confirm that the approved course version and reference materials remain current.

Updates will cover affected objectives, slides, examples, cases, polling questions, handouts, speaker materials, references, and promotional descriptions. Each review will record its date, reviewer, sources checked, changes made or a documented “no change needed” conclusion, and the next review due date.

Significant revisions will receive a documented review by a qualified reviewer independent of the content’s development before use. If a material issue cannot be corrected before delivery, the affected course will be postponed or withdrawn and registrants notified under the cancellation policy. Material errors identified after delivery will be communicated to affected participants with corrected information.

Course materials will display their revision date. Superseded versions and supporting review records will be preserved under the five-year record-retention policy.
